Basic Information

On behalf of our client, we are looking for a highly organized, proactive, and detail-oriented Operations & Administration Coordinator to support the smooth day-to-day operations of the business.

Responsibilities

  • Coordinate and track ongoing tasks, deadlines, and follow-up actions across company initiatives.
  • Prepare, maintain, and organize documentation, records, trackers, and reports.
  • Gather and organize content and materials for marketing and communication initiatives, including newsletters, social media, and website updates.
  • Coordinate with external partners, designers, and suppliers on marketing and communication needs.
  • Manage administrative and logistical coordination for conferences, exhibitions, and company events, including venues, suppliers, registrations, and event materials.
  • Support business development activities, including maintaining contact databases and assisting with proposals and presentations.
  • Liaise with the accounting team on payroll support, contract management, banking matters, leases, utilities, and supplier-related processes, including invoice handling.
  • Provide general administrative support to the management team and across departments as needed.

Requirements

Back Office
Operations Management
  • 2+ years of experience in Administration, Operations, Office Management or a similar role.
  • Previous experience coordinating multiple stakeholders, suppliers, and activities simultaneously.
  • Strong knowledge of Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and Microsoft 365 tools.
  • Excellent organizational and administrative skills.
  • Experience maintaining databases, trackers, and operational documentation.
  • Ability to prepare reports, presentations, and business documents.
  • Strong interpersonal skills and the ability to work comfortably with multiple internal and external stakeholders.
  • Excellent command of English, written and spoken.

Good to have
