Basic Information

Provision of high-level administrative support to executives, ensuring smooth day-to-day operations. This role involves managing schedules, coordinating meetings, handling confidential documents, and facilitating communication between departments. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Responsibilities

  • Calendar & Schedule Management: Organize and manage executive calendars, schedule meetings, and coordinate appointments.
  • Communication & Correspondence: Handle emails, phone calls, and other communications on behalf of the executive.
  • Meeting Coordination: Arrange meetings, prepare agendas, take minutes, and follow up on action items.
  • Travel Arrangements: Book flights, hotels, transportation, and create detailed itineraries.
  • Document Preparation: Draft reports, timesheets, presentations, memos, and other business documents.
  • Confidentiality & Data Handling: Maintain confidentiality of sensitive information and ensure proper documentation management.
  • Office Management: Order supplies, maintain records, and support office administrative needs.
  • Stakeholder Liaison: Act as a point of contact between executives, employees, clients, and external partners.
  • Event Planning: Assist in organizing company events, conferences, and team activities.
  • Project Assistance: Support special projects and initiatives as assigned.
  • Invoicing & Quoting: Prepare and process invoices, generate quotes for clients, and ensure accurate financial documentation.
  • CRM Maintenance & Management: Regularly update and maintain customer relationship management (CRM) systems, ensuring accuracy of client records, tracking interactions, and supporting sales or business development efforts.

  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Google Workspace, and scheduling tools. Experience with CRM software and invoicing tools is a plus.

  • Communication: Strong verbal and written communication skills.
  • Problem-Solving: Ability to anticipate needs and proactively address issues.
